The Secretary is responsible for carrying out the ordinary assigned duties and specific responsibilities
as designated by the Vice-Chancellor as related to Case Management and the Computer Committee.
The Secretary is to be gracious, courteous, efficient and confidential in all dealings and situations.
QUALIFICATIONS:
High School diploma with three years experience in clerical position; knowledge and understanding
of legal (attorney and court) procedures
Computer/Word Processing training and experience (Corel Suite)
50 wpm; 10 key by sight
Knowledge and ability to operate office equipment
Understanding of the cultural diversity evidenced in the Archdiocese of Santa Fe
Knowledge of canonical and legal terminology and protocol
Evidence of ability to coordinate, schedule, follow through and carry out assignments accurately
and with minimal supervision
Proven written and verbal communication skills
Dependability, punctuality flexibility and openness to change
Demonstrated sensitivity to a multicultural church
Understanding of and adherence to confidentiality
Ability to work well with staff and supervisors
SPECIFIC DUTIES:
In work situation and dealing with co-workers and public, adhere to the Mission Statement
of the Catholic Center and follow policies and procedures of the Archdiocese, and the Catholic
Center.
Perform all the ordinary and expected responsibilities of an administrative assistant, utilizing
personal and technical skills.
3. Screen phone calls, keep accurate list of calls, relay messages precisely and immediately.
Maintain scheduling of attendants to Archdiocesan Sexual Misconduct workshops.
Keep and update records and information of alleged victims and alleged perpetrators.
Research cases as directed by Case Manager.
Prepare correspondence to attorneys, therapists, alleged victims and alleged perpetrators.
Keep working files and archives of cases in order.
Respond to requests, information, etc., appropriately and with confidentiality.
Keep accurate records of counseling and correspondence with therapists and alleged victims.
Maintain Review Board materials.
Arrange materials for Litigation Committee Meetings.
Initiate telephone conferences involving attorneys, Case Manager and select Catholic Center
staff utilizing a digital phone system.
Meet deadlines with reliability.
Exhibit helpful, caring, professional attitude at all times.
Coordinate the work of the Catholic Center computer committee as detailed in the job description.
PAY STEP: 5 ($23,850) 35 hour work week with full
benefits
